Privacy Notice

This notice explains what we collect through the website, why we use it, and the choices you have about marketing emails.

1. Information we collect

Depending on what you use, we may collect your name, email address, phone number, town/postcode, property details, room counts, cleaning preferences, notes you provide, voucher details and your communication history with us.

For website security and consent records, the system may also retain a protected/hashed form of the internet address used to submit a form, the date/time of submission and basic browser information.

2. Estimates and cleaning enquiries

When you request an estimate or contact us about cleaning, we use the information you provide to calculate and send the estimate, notify the appropriate people within The Cleaning Coven, assess availability and respond to the enquiry. We may contact you afterwards by email or phone about that specific estimate or cleaning enquiry, for example to clarify the property, discuss priorities, arrange a home visit, confirm availability or provide the final quotation.

These follow-up messages are connected to the enquiry you asked us to deal with; they are separate from our monthly marketing emails. Our lawful basis will generally be taking steps at your request before entering into a contract and, where appropriate, our legitimate interests in responding to genuine enquiries and managing our customer service. Requesting an estimate does not by itself add you to the marketing list.

3. Mailing list and promotions

We only add a new website visitor to the monthly marketing list when they actively choose the mailing-list option or use the dedicated signup form. The website records the consent wording and time so we can show what was agreed.

Marketing may include home-cleaning tips, deals, coupons, occasional news and information about Cleaning Coven services. You can withdraw that choice at any time using the unsubscribe link in a marketing email or by contacting us. We keep an unsubscribe/suppression record so the system knows not to add you to future campaign sends by mistake.

4. Discount codes

If you join through an eligible signup, the system generates a unique discount code and emails it to you. We store the code against the mailing-list record so we can identify the offer if you later use it.

5. Gift a Clean enquiries

Voucher enquiries are used to discuss the requested gift, contact the purchaser, arrange payment outside the automated website flow, and issue/administer the voucher if you proceed.

6. Who receives the information

Your details are available to authorised people within The Cleaning Coven who need them to handle the enquiry, customer relationship, voucher or mailing list. Website data is stored in the database supplied with our hosting account. Emails are sent using our configured business mailbox/SMTP service.

We do not sell the website mailing list to advertisers.

7. How long we keep information

We keep personal information only for as long as it is reasonably needed for the purpose it was collected, to manage ongoing customer relationships, maintain appropriate business records, resolve disputes or meet legal/accounting obligations. Marketing suppression records may be retained so we can continue respecting an unsubscribe request.

8. Your rights

Depending on the circumstances, UK data-protection law may give you rights to ask for access to your personal information, correction, deletion, restriction or objection, and to withdraw consent where consent is being used. Contact us if you want to exercise a right or ask how your information is being used.

9. Security

The website uses authenticated admin access, server-side validation, prepared database queries, protected configuration files, rate limiting and encrypted HTTPS/SMTP connections where the hosting service supports them. No internet system can promise absolute security, so access to the dashboard and hosting account should be protected with strong unique passwords.

10. Contact and complaints

Contact info@cleaningcoven.com first if you have a privacy question or want us to update/remove information. You also have the right to complain to the UK Information Commissioner's Office if you believe your data-protection rights have been infringed.
